FAQs

Who can apply for events?

The spaces listed above form part of the public realm on the Westway Estate. They are available to hire by our member organisations, local community groups, charities and CIC’s based in North Kensington for open community events and activities. 

Is there a fee?

While we generally do not charge a fee for community event licenses, we do ask event hosts to consider the necessary expenses of logistical items such as toilets, security, waste control etc. We will be unable to issue licenses without assurances on these items from event hosts. 

What is the booking process for hiring an event space?

  • Submit an application online – Select the event space you’re interested in and complete the form. 
  • Receive an Event Consultation invitation – this will be sent to you shortly after receiving your application. 
  • Attend your Event Consultation – Discuss your concept, logistics, and required documentation with our Events Manager. 
  • Site visit (recce) – Walk through the space with our Events Manager and Senior Technician to visualise your event. This visit is required before completing your risk assessment. 
  • Submit all paperwork – At least 7 working days before your event. 
  • Settle any additional costs – We’ll confirm these with you if applicable. 
  • Event documents reviewed – Our team checks everything is in order. 
  • License issued – Once approved. 
  • License signed and returned – Your event is now confirmed and you can start promoting it. 
  • Receive your space information pack – Final details for your event day 

Depending on how quickly you return the necessary paperwork after consultation, the whole process may take up to three weeks. 

What paperwork will I need?

Below is a list of documents that may be required when booking a space. 

  • Event Proposal 
  • Event Schedule 
  • Risk Assessment 
  • Public Liability  
  • TENs (Temporary Event Notice, issued by the local authority) 
  • Method Statement  
  • Food Hygiene Certificate 
  • Waste Plan  
  • Security Plan  

Some may not apply, depending on the nature of the event. Once collected, the paperwork is sent our Events Manager for further review, before a space license is issued by our Leasing Officer. 

Why do I need an event license?

An event license is an agreement between you, the event host and Westway Trust, the custodians of the estate. It grants permission for you to use and manage the allocated area of land for the purposes of your event, and lays out details the event, i.e. where it’s taking place, how many people will be attending, and as well as conditions appointed to the agreement. 

Do I get a TEN from Westway Trust?

A Temporary Event Notice (TEN) is granted by the local council (RBKC). It gives you the legal right to undertake what’s known as a ‘licensable activity’. That includes selling alcohol, serving hot food and drink between 11pm and 5am, and providing entertainment such as music or dancing – but only under certain conditions.

Do you provide set up and on-site assistance?

During the event consultation process, organisers will be invited for a site-walk with our facilities team to go over any technical requirements and assistance in setting up. Technical assistance required after officer hours and over the weekend will incur an extra charge.   

What support does Westway Trust provide with events?

At your initial event consultation, we will discuss the specific requirements for your event.

We can offer advice, but as an event organiser, you’ll be required to source suppliers yourself and deal with the logistics of getting them to your event venue on the day. 

Do you provide electrical leads?

We can provide extension leads, see our Equipment Loan section. However, we do not provide comando plugs or adaptors. If you are unsure what adapters you need for your event, please contact us, providing details of the electrical items you intent to use, and their power loads. 

Does Westway Trust fund community events?

We want to support community celebrations and events, particularly those that give local talent a chance to be showcased. Twice a year, we run our Celebration and Events grants programme. This fund is designed to provide financial support for community celebrations, activities and events; particularly those that give local talent a chance to be showcased.

We welcome applications for events and projects where this is either central to the activity or where there is a significant element of public engagement. We support events across any art form or theme important to the North Kensington communities.   

Does Westway Trust provide equipment such as table and chairs?

Where possible, we support local community groups and individuals to hold events in North Kensington, through space hire or equipment loan Please see our Equipment Loan page for more information. 

Why have I been asked to complete a feedback form?

In order to measure social impact, we ask that event hosts complete a feedback form shortly after your event, letting us know your thoughts and experience related to how your event was received, who attended, cultural benefits, our events process, the space, the surrounding areas etc. 

Events that happen on our estate can have a significant impact on local development. Your feedback will help us take stock of advice, guidelines, and good practices for assessing the impact of events that take place on the Westway Trust estate. 

Can I host regular events?

We are open to series of events, however Event Hosts wanting to put on more than four events in a series may incur a small fee.  

Can I hire the spaces for a private event?

We are unable to issue licenses for private events. If you are interested in hosting a private event, we suggest getting in touch with the following private and community event spaces on the Westway estate:

How can I trade at an event?

Most of our events are hosted by external parties. If you wish to be involved with any licensed event taking place on our estate, we would happily pass your proposal to the event hosts. If you wanted to be on our suppliers list for internal events, please do get in touch stating which product of services you offer.
