‘The Hive’ is a community space, provided for the benefit of local organisations and individuals engaging in activities that support community development, training, education, and well-being. It is not a social or storage facility, and its use must always reflect its intended community purpose.

Availability

Monday-Friday, between the hours of 9am-6pm. The room is not available for booking on Saturdays and Sundays.

Equipment

  • The room contains the following equipment, which is provided free of charge with the space:
    • 5 x foldable tables (192cm x 76cm)
    • 20 x foldable chairs
    • 1 x movable flipchart board/whiteboard
    • 1 x wall-mounted television with HDMI connection
    • 2 x blue sofa seats
  • In addition to the above items, Westway Trust offers equipment for temporary loan, which must be booked separately at westway.org/equipment.
    • Important: Please note that if any additional equipment is booked out via this system, it is your responsibility to arrange collection and return of the equipment to its original location, within the agreed times.
  • Tea and Coffee facilities may be available on request, and may attract a small fee.

Booking Eligibility & Use

  • Bookings must be made at least 5 working days in advance.
  • The venue is to be used strictly for meetings, appointments, or training sessions only.
  • Social events, private parties, or any non-community activities are not permitted.
  • The space is provided Free of Charge* to non-profit community groups, charities and CICs who are able to demonstrate a positive social impact to our communities in North Kensington.

Impact Reporting

  • All users of the space must complete a short online form after each booking. The form aims to demonstrate the positive social impact that your activities in the space have provided the North Kensington community.
  • The form is completed at westway.org/thehive-impact, or by scanning the QR code on the pinboard in the space.
  • Non-completion of this form after every booking will result in future booking requests being rejected.

Key Collection and sign-in Procedure

  • In the booking form, you will be asked to nominate a collection and return time for the key to the space. This time is not confirmed until a booking confirmation has been received.
  • The key must be collected in person from reception at 1 Thorpe Close.
  • You must sign for the key. No collection = No access.
  • Keys must never be handed over to another user unless pre-approved in the booking.
  • All attendees must sign in and out using the form located on the wall inside the space.

No Storage Policy

  • Absolutely no items may be left in the venue under any circumstance.
  • There is no storage facility on site.
  • Anything you bring must be taken with you at the end of your session – this includes paperwork, banners, personal items, food, and equipment.
  • Items left behind will be disposed of without notice.

Block bookings

  • Consecutive “block bookings” are generally discouraged, as we want to ensure fair access for all community users.
  • If you wish to book the space more than two weeks consecutively as part of a funded or structured community project, you must provide formal proof of funding and the project duration. Without this documentation, all bookings remain on a first-come, first-served basis via the online system.
  • Any block bookings that are considered will be closely monitored to ensure the space is being fully-utilised.

Responsible Use – Safety, Security, and Respect

The ‘Key Contact Person’ for the booking is fully responsible for:

  • Health & Safety:
    • Communicating fire safety procedures and exit locations.
    • Ensuring no more than 20 attendees are present at any time.
  • Security:
    • Only allowing in your group’s members or participants.
    • Ensuring nobody accesses other areas of the building.
    • All access and exits must be through the main entrance only.
    • Fire exits must remain clear at all times.
  • Clean & Timely Exit:
    • The space must be clean, tidy, and reset as found.
    • All lights, windows, and heating must be turned off.
    • Vacate the building by the end time stated in your booking.

 

Regular Usage Checks

  • Regular ad-hoc checks will be carried out to ensure those who have booked the venue are actively using it during the agreed date and time.
  • Failure to be present during your booking may result in suspension or restriction of future access.

Non Complaince and breach of Conditions

  • Failure by the ‘Key Contact Person’ to comply with these terms may result in the organisation being denied future use of The Hive.
  • Three instances of failing to comply with these conditions may result in a permanent ban from booking the venue.
  • Westway Trust reserves the right to withdraw access at any time in the event of misuse or inappropriate use of the space.
